VerseMate Notetaker ("Notetaker", "we") records Bible-study classes for the VerseMate coaching program. This policy explains what we collect and why.
What we collect
- From your Zoom account, when you connect it: your Zoom user ID, name, email address and account ID, and the OAuth tokens Zoom issues to us.
- About your meetings: topic, schedule, time zone and join link of the meetings you host, so the bot knows when to join.
- From the classes the bot joins: the audio and video of the meeting, each participant's display name, and the transcript produced from the audio.
How we use it
Only to record your classes and produce transcripts and coaching reports for the VerseMate coaching program. We do not sell data, show ads, or use it to train AI models. Transcription runs on our own hardware. Recordings and transcripts are shared with the coaching program's reviewers, who write your coaching report with the help of AI services whose terms exclude training on the data.
Where it is kept and for how long
- On servers we operate in the European Union. OAuth tokens are encrypted at rest; all traffic uses HTTPS.
- Video and audio: deleted after 90 days. Transcripts and reports: kept for your coaching history until you ask us to delete them.
- Meeting schedule data: kept while your Zoom account is connected.
Disconnecting and deletion
When you remove the app from your Zoom account, Zoom tells us and we delete your tokens and meeting data immediately. To have recordings or transcripts deleted as well, email sebastian.boghiu@gmail.com; we act on it within 30 days.
Your rights
Wherever you live, you can ask us to: tell you what data we hold about you and give you a copy; correct it; delete it; stop or restrict processing it (for example, stop recording your classes); and send it to you in a portable format. If you are in the EU or UK, these are your rights under the GDPR, and you can also complain to your data protection authority; in California, under the CCPA. To exercise any of them, email sebastian.boghiu@gmail.com from the address on your Zoom account. We answer within 30 days and never charge for it. Participants in a class who are not coaches can use the same address.
